How to send Toast's daily sales email to another address

In short

In Toast Web, open Toast account, then Notifications & alerts, then Contact settings. Find the email list chosen for Daily Performance Summary: Current Location, select Add External Email, type the address, then save and publish. Do it for each location. The email comes every morning, after the business day closes. Toast's help says outside addresses aren't supposed to get it, but in our test in October 2026, they did.

Which summary to pick

  • Daily Performance Summary: Current Location is one email per store. Toast sends it within five hours of the location's business day cutoff.
  • Daily Performance Summary: All Locations is one email for the whole group, at 9 a.m. Eastern.

For an outside address, use Current Location: it's the one we've seen arrive. A bookkeeper with their own Toast login and the Sales Reports permission can get either one. OK Book Sync reads one store at a time, so it needs Current Location too, and it skips the all-locations email.

Add the address

  1. In Toast Web, switch to the location you want.
  2. Open Toast account, then Notifications & alerts, then Contact settings.
  3. In the email types, find Daily Performance Summary: Current Location and note which list it goes to. If no list is picked, make one with + Create Email List and pick it.
  4. On that list, select Add External Email, type the address and confirm. Toast asks for it in a small pop-up box.
  5. Select Save, then publish the change.
  6. Repeat for each location. Toast keeps these settings per location.

Adding the address to the list that already gets the summary is the simplest way: everyone on it keeps getting it. You can also make a new list with + Create Email List and pick it for the summary. If you do, check that the people who got the summary before are on the list you pick.

What to expect

  • Outside addresses get it today, though Toast's help says they shouldn't. Toast's help page says only active employees with the Sales Reports permission receive the summary. In our test on October 8, 2026, Toast still sent a store's Current Location summary to an outside address, twice. Toast could change that, so check now and then that it still arrives.
  • It comes every day, even on a day with $0 in sales. It doesn't come while Toast's Test Mode is on.
  • Sometimes it comes twice. Toast can send the same store's day more than once in a morning.
  • What's in it: sales by category (the top 10), guest counts, average check, labor and voids. It doesn't break out sales tax, tips or each payment type. For those, an app needs Toast API access instead.

Using it with OK Book Sync

If you pick Toast's daily emails in the app's setup, it shows your own address: six characters and @okbooksync.com, like [email protected]. It comes with your license key. Add it in Toast as above, for each store. Each morning the app downloads the emails, and until a store's email arrives, its day shows Waiting for Toast's email and the app tries again every hour. If it hasn't come by noon the next day, the app tells you to check that store's list in Toast. If the same day comes twice, the app keeps one copy.

The emails pass through okbooksync.com on their way to your PC. We keep each one 30 days so a PC that was off can still get it, then delete it. Since the emails have sales by category only, each day waits for your review before it goes to QuickBooks.
